Camp de Jour Conseil Communautaire du Grand Havre provides a fun and enriching camp experience at two locations in Nova Scotia. With 35 staff across its Dartmouth and Halifax camps, Camp de Jour Conseil Communautaire du Grand Havre delivers positive and memorable experiences to more than 1,000 members. However, before switching to Uplifter, their administrative team was getting slowed down by time-consuming registration tasks. About Camp de Jour Conseil Communautaire du Grand Havre

Camp de Jour Conseil Communautaire du Grand Havre was founded in 1992 and uniquely offers the only two French language camps in the Halifax Regional Municipality. Operating camps in both Dartmouth and Halifax, Camp de Jour Conseil Communautaire du Grand Havre serves more than 1,000 members with Day Camp programs for children ages 4 – 9 years old, and Camp in Action programs for youth 10 – 13 years old. Camp de Jour Conseil Communautaire du Grand Havre’s 35 staff members foster the development of their campers’ imaginations, teamwork and leadership skills to help cultivate creative and collaborative youth across Nova Scotia’s Francophone community.

The Situation

Camp de Jour Conseil Communautaire du Grand Havre is focused on creating a memorable camp experience where new skills can be learned and new friendships can be formed. With over 25 years of delivering meaningful experiences to the Francophone community in Nova Scotia, Camp de Jour Conseil Communautaire du Grand Havre’s programs now generate a high level of demand. But, as demand for the camp’s programs has grown, so have the camp’s registration needs.

Camp Coordinator Florence Cormier-Lebrun explains that before Uplifter there were “many time-consuming tasks that added work for the staff that managed our website and registration.” These tasks needed to be managed manually which slowed down the camp’s work-flow. For example, Camp de Jour Conseil Communautaire du Grand Havre was manually managing registration cut-off dates for each specific age group, but they knew this could be automated with the right software.

With the new health and safety restrictions brought on by COVID-19, the camp also wanted a better way to present their policies during registration. Camp de Jour Conseil Communautaire du Grand Havre spent a lot of time and effort to ensure their policies and processes protected young campers so communicating this information up front was important.

Overall, the camp needed camp management software that was going to streamline their registration, invoicing, payments, merchandising, and all the little things that went into making Camp de Jour Conseil Communautaire du Grand Havre a success.

The Solution

Since moving to Uplifter, Camp de Jour Conseil Communautaire du Grand Havre’s registration and day-to-day camp management have become much more efficient. Florence explains that “90% of payments are now made on our website using a credit card.” Furthermore, “all of our membership invoicing now goes through the Uplifter platform.” This means the overwhelming majority of payments are now hands-free and happen without the need of an administrator overseeing the transaction. Plus, all membership transactions are now stored on member accounts where members and admins can easily see them.

Camp de Jour Conseil Communautaire du Grand Havre’s available programs are now listed on their website where members can quickly register for the programs they desire. If a program fills up, parents can easily add their camper to a waitlist where they will be notified as soon as a new position opens up. Camp de Jour Conseil Communautaire du Grand Havre’s policies and waivers are also now presented for review online to ensure that each camper’s parent or guardian is aware of the camp’s rules, regulations and health and safety measures.

Uplifter has also been able to deliver benefits well beyond registration. Day-to-day camp management tasks like arranging late pickup for campers are now being handled through the Uplifter platform. Camp de Jour Conseil Communautaire du Grand Havre loves that their administrative team can easily view and edit each member’s family account. These accounts give parents plenty of self-serve options including updating information about a family member, making payments, reviewing transactions, viewing a consolidated family calendar, leveraging blended family account features and much more. Using their administrative dashboard, the camp’s staff can quickly and easily make changes, or guide a member through their family account so they can take advantage of self-serve features in the future.

Policies:

Uplifter’s digital waiver and policy features allow Camp de Jour Conseil Communautaire du Grand Havre to clearly communicate their rules, regulations and health and safety protocols for the camp. These policies can be presented on their site and during registration. They may also optionally require digital signatures or checkbox agreements from parents or guardians. Lastly, ongoing health and safety policies can even be presented on a recurring schedule (daily, weekly or monthly) when members login. Of course, whenever members and their parents review and agree to a policy it will be archived and date stamped directly on their account.

Customer Support:

Camp de Jour Conseil Communautaire du Grand Havre has been pleased with Uplifter’s Support Team, taking advantage of email and video call support whenever they need assistance.
